Setting up Alerts

The SportsWare Alert module sends SportsWare generated messages based on several events. Admins can define the Alerts their institution will use. Users can define the alerts they want to receive and if they want a notification.


Alerts available: Athlete Status Changed, New Injury Record, New Referral Record, Positive COVID Response, PHQ-9 High Risk Response, Athlete Form Completed, Form Rejected, and Medical History Completed.


Notification types include: browser pop-ups, push notifications (on mobile), and e-mails.


Web Browser - Dashboard


On the Dashboard of the Web Browser interface, you will see a new symbol in the top right corner of the SWOL interface. It looks like a bell. If there is a red number on the bell icon, you have unread alerts.


Clicking on the Bell icon will bring up the Alerts Log.


Setup


Navigate to Admin > Institution, then click the Alerts tab


You will see the following options in the table:


Enable & Alert Name: The Alerts your institution wants to use should be set to Yes.

Send To Columns: Choose whether the alerts should be sent to the ATC, Coach, Athlete and/or Parent.

Priority: Choose between High, Medium, and Low. The Priority is color-coded when viewing your alerts.


User Settings


Alerts user settings preferencesWhen an Alert is triggered, it will show up within the Alert Log. You can optionally enable SportsWare to send a Browser Pop-Up or E-mail when an Alert is generated.


To change these settings; from the Dashboard, navigate to My Account > Alerts tab.




Alert: The Alert type/name.

Notification Type Columns: Select Yes for the type of notification you want to receive about each Alert Type.

Notification: Browser pop-up or Push Notification (must be enabled on your device).

E-Mail: Will send an email to the address tied to the User account.


Viewing Alerts


To view the list of Alerts, click on the Bell icon. You will see a screen pop up with all the unacknowledged alerts listed.


The columns are as follows:

Athlete: Athlete’s name.

Priority: Color coded; high, medium, or low.

Alert: The type of alert.

Message: A message auto-generated by SportsWare to explain the alert.

Date/Time: When the alert was sent.

Read: Check this box to mark the alert as read.

Open Record: Click the Open button to go right to the record in SportsWare. For example, if this is a New Injury Alert then the button would take you to the Injury record.

Enabling Notifications


The SportsWare Alert module uses Windows Notifications to provide pop-up messages. In order for it to work, you’ll need to enable browser pop-up notifications.


The first time you visit www.swol123.net your browser will prompt you to allow these notifications. If you have previously denied notifications you'll need to change that in your browser settings.


In Google Chrome:


Click on this symbol at the beginning of the URL bar. 


Click the slider/toggle symbol next to "Notifications" and "Pop-ups and redirects" so they are blue/enabled.

Now you can close this little window and alerts will show up in your notification center on your device.
